SUNY Poly Host Department Information

When inviting to host a J-1 Exchange Visitor to SUNY Polytechnic Institute, all host departments and faculty should be prepared to closely advise and support the Exchange Visitor throughout the application process and their time on campus.

All SUNY Polytechnic Host Faculty must complete an onboarding session with Human Resources and Immigration Services prior to approval for prospective Exchange Visitors.

SUNY Poly host department and/or host faculty members are responsible for: 

  • Selecting qualified individuals to participate in the J-1 Exchange Visitor (EV) Program with SUNY Poly 
    • This includes reviewing the prospective EV’s academic and employment records, references, publications (if applicable), etc. 
  • Completing departmental requirements for the prospective EV’s DS2019 Application
    • Exchange Visitor Request-Campus Form
    • Assist prospective EV with the Budget Worksheet
    • EV Request Payment Form 
      • Must work with the SUNY Polytechnic Institute Business Office and/or Office of Research to complete this requirement 
  • Primary point of contact for the incoming EV for topics such as:
    • Outlining the EV’s responsibilities and program details with SUNY Poly
    • Support for the EV throughout the application process and once the EV is on campus.
    • Liaison for the EV with SUNY Poly Departments, such as: 
      • Human Resources
      • Office of Research
      • Bursar’s Office
      • Business Office
      • University Police
  • Arranging and assisting with the EV’s arrival plans, including:
    • Guidance with travel arrangements (particularly local transportation)
    • Welcoming the EV to campus & campus orientation
    • Assisting with on campus housing (if applicable)
