Room Policies

photo of sitting space among the stacks in the librarySUNY Polytechnic Institute Library’s study rooms, conference rooms, meeting rooms, and lab spaces are dedicated to serving the overall educational needs of the SUNY Poly community, including study and meeting spaces to accommodate a variety of learning and working styles. The library has a variety of spaces dedicated to serving these different needs. Meeting or Reservation requests that do not serve to further the educational experience of the SUNY Poly community will be considered on a case-by-case basis, and will be allowed only if space is available and the use of the rooms do not interfere with other major uses of the building such as quiet study, tutoring services, or a space to gather to do collaborative work.

Reservations outside of library open hours will only be accommodated if a SUNY Poly faculty or staff agrees to monitor the building during all hours the library is not open.

Room Reservations

At the SUNY Poly Library, there’s a space for every need: whether it’s meeting with a large or small group, studying individually, working on a paper at a computer, or using one of our many whiteboards to generate ideas for a project – we have a place for you. During the Fall and Spring Semester, SUNY Poly Library is open 7 days a week.  Food and drinks are welcome throughout.

SUNY Poly Library offers 315 seats in the Library’s public open areas, many of which have access to natural light and great views.  Reliable wireless networking and power are also abundant throughout.

Policies: 

  • Group study and meeting space are the primary uses of this room.
  • Reservations for academic purposes such as exam preparation groups or study groups take precedence over other uses. Faculty and staff may reserve this room for committee meetings, or other uses related to SUNY Poly business.
  • Semester-long reservations for courses cannot be accommodated.
  • Recurring reservations can be made for no more than one time per week (e.g. Wed., 1-2). Special circumstances will be considered on a case-by-case basis.
  • This room can only be reserved for up to 2 hours per reservation
  • Two reservations per group/student can be made per week
  • Faculty training, student club meetings requiring the use of projection, presentations, and other events are allowed as long as the room is not previously scheduled.

Policies: 

  • Group study and an informal eating and working space are the primary uses of this room.
  • This space has no permanent Audiovisual Equipment. Groups wishing to reserve the space and in need of a change in setup or Audiovisual Equipment must arrange this with the Corporate Events office.
  • Catering and food service is allowed in this room and should be arranged through the Corporate Events office.
  • Sodexo's Hours of Operation for the Mario Cafe's food service

Policies: 

  • Reservations for this room are allowed only in special circumstances, using the Event Request System

19 computers, projection and instructor workstation and two whiteboards.

Policies:

  • Library Instruction is the primary use of this room, and reservations for library instruction have precedence over all other reservations.
  • The secondary use of this room is a quiet computer lab during busy study periods.
  • Semester-long reservations for courses cannot be accommodated.
  • Recurring reservations can be made only with the understanding that a reservation request for library instruction may require that one of the reserved times is canceled. The library will make efforts to find alternate accommodations within the library if a reservation must be canceled but does not guarantee an alternate space.
  • Faculty training, student club meetings requiring the use of computers, presentations, and other events are allowed as long as the room is not needed for library instruction.
  • Reservations are not allowed in this room the week before finals and finals week of each semester in the Academic Calendar. Recurring appointments with reservations within the week before finals and finals week will not be allowed. Course-related activities are allowed during this final two-week period.

  • This room has a built-in large-screen monitor.
  • Catering and food service is allowed in this room and should be arranged through the Corporate Events office.
  • Reservations are not allowed in this room the week before finals and finals week of each semester in the Academic Calendar. Recurring appointments with reservations within the week before finals and finals week will not be allowed.

  • Reservations are allowed for special events and for special circumstances only.
  • This room has a built-in large-screen monitor.
  • Catering and food service is allowed in this room and should be arranged through the Corporate Events office.
  • Reservations are not allowed in this room the week before finals and finals week of each semester in the Academic Calendar. Recurring appointments with reservations within the week before finals and finals week will not be allowed.

All study rooms have built-in large-screen monitors.

Policies:

  • Group study and meeting space are the primary uses of these rooms.
  • Students are allowed to check out a room key at the circulation desk. The keys are checked out for a 2 hour period. Student ID must be presented at time of check out.
  • There will be a $25 replacement key cost assessed to your account in Banner if the key is lost.
  • If no one is waiting, students may go to circulation desk and request another 2 hour check-out period.
  • Room keys are not reservable.

  • Rooms are available on a first-come, first-served basis.
  • Reservations are only allowed under special circumstances, and recurring reservations are not allowed.

Policies:

Over 100 open seats are available on the first floor, which is a dedicated social and group work space.  An additional 100 seats are available on the second floor, which is the dedicated quiet space in the Library.

Reservations are made only for special events and are made on a case-by-case basis. Factors considering decisions will include how event supports an educational mission of SUNY Poly, potential disruption to the normal library and learning commons’ uses and appropriateness of the event to the space requested.
