Move Out Information

At the end of the fall semester, students who will be returning for the spring semester may leave their personal belongings in their room, as they will return to their current room assignment for the spring semester unless otherwise notified.

Students who are not returning for the spring semester must remove all personal belongings and follow the departure instructions below before leaving campus. Please note that SUNY Poly does not provide storage for students' personal belongings.

Residence Hall Closing Dates

  • Fall 2025: The last day of residency is Friday, December 12. Students must check out by 3 p.m.
  • Spring 2026: The last day of residency for students who are not graduating is Friday, May 8. Students must check out by 3 p.m.
  • Commencement participants: Students participating in commencement must check out by 5 p.m. on Saturday, May 9.

Fall Semester Check-Out and Departure Instructions

Before leaving campus for the fall semester, students should:

  • Close all windows.
  • Unplug your mini-refrigerator, if applicable.
  • Clean your bathroom.
  • Vacuum or sweep the floors.
  • Collect all trash and place it in the outside bin.
  • Turn off all lights.
  • Lock the door before departing.

Students Not Returning for the Spring Semester

Students who are not returning to SUNY Poly for the spring semester must also:

  • Meet with their Resident Assistant to complete a Room Condition Report (RCR).
  • Return their room and mailbox key(s) to the Residential Life Office during business hours.
  • Complete a Key Return Receipt.

Students checking out after business hours must return their key(s) to their Resident Assistant or the Assistant Director. Students who do not return their key(s) will be charged $150 per key.

Spring Semester Check-Out and Departure Instructions

Before checking out at the end of the spring semester, students should:

  • Remove all personal belongings.
  • Close all windows.

  • Collect all trash and place it in the outside bin.
  • Turn off all lights.
  • Lock the door before departing.

Room and Key Check-Out

Students must meet with their Resident Assistant to complete a Room Condition Report (RCR).

During Residential Life Office business hours, 8:30 a.m.-4:30 p.m., students must return their room and mailbox key(s) to the Residential Life Office and complete a Key Return Receipt.

Students checking out after business hours must return their key(s) to a Resident Assistant or the Assistant Director of their residential complex. Students who do not return their key(s) will be charged $150 per key.

Damage Billing

Residential students are responsible for the condition of their entire room, including the bedroom, common room and shared living areas. If damage is identified that was not documented on the Room Condition Report (RCR), the occupant(s) may be held responsible.

Communication between roommates and suitemates is encouraged if there are concerns or questions about unreported damage. If damage is identified and the responsible individual cannot be determined, the damage charges will be divided equally among the roommates or suitemates who lived in the space.

Students may also be charged if staff determine that excessive cleaning of the room or shared living areas is required after departure.
