Student Refund Information
Refunds are processed multiple times throughout each semester, including summer, fall, and spring. After charges owed to SUNY Poly have been satisfied, any remaining balance due to the student is refunded as the funds arrive on campus.
When Refund Funds Become Available
- Federal Direct Student Loans (Subsidized and Unsubsidized): Loans are applied to the student's account in two equal installments. The initial installment is applied during the first week of the semester, and the second installment is applied during the fifth week of the semester.
- The ability to generate a refund for Federal Direct Student Loan recipients depends on the amount owed to SUNY Poly, as well as the amount and type of other financial aid awarded, such as the Federal Pell Grant or New York State Tuition Assistance Program (TAP).
- Students should review their online Banner student account to determine whether a refund check is available. A refund will appear on the account as a charge called “Exchange-Refund Overpayment.”
- Federal Pell Grant: Funds become available approximately during the sixth week of the fall and spring semesters. For summer refunds, these funds are generally available in mid-July.
- New York State Tuition Assistance Program (TAP): Funds become available approximately during the sixth week of the fall and spring semesters.
Plan Ahead
Students should plan and budget accordingly to cover living expenses at the beginning of the semester. Emergency loans processed by the Financial Aid Office will not be issued during this time.
Receiving Your Refund Check
Refund checks are generated and issued by the Bursar's Office.
Students have two options for receiving their refund check:
- Pick up your check: Refund checks may be picked up from the Bursar's Office in the Kunsela Hall Student Services Suite, Room A209 (second floor).
- Request your check by mail: Students who would like their refund check mailed must send a written request from their SUNY Poly email account to bursar@sunypoly.edu. The request must include the student's complete mailing address and a statement confirming that they are attending their classes.
